Privacy Policy

Privacy architecture for website visitors, prospective clients, clients, vendors and other business contacts.

1. Scope and purpose

This Privacy Policy explains how Woodlentra Studio collects, uses, stores, shares and protects personal information in connection with this website, consultation requests, proposals, project delivery, technical advisory services and ordinary business administration. It applies to information submitted directly by an individual, provided by an authorized representative of a business, generated through interactions with the website, or created during a commercial relationship.

This Policy does not govern a client’s own product, application, database or end-user information merely because Woodlentra Studio develops or advises on that system. Where client data is processed solely on documented instructions during a project, the applicable agreement, statement of work and any data-processing terms control that activity.

2. Information collected

Information may include name, business email address, telephone number, company or organization, professional role, project description, selected service, budget or pricing context, requested timing, website address and correspondence. When a project is evaluated or performed, information may also include proposal history, contract records, billing details, payment status, project decisions, meeting notes, credentials supplied through an approved secure method, issue reports and records of deliverables.

Technical information may be generated when a visitor uses the website, including IP address, browser and device type, approximate region, referring page, pages viewed, timestamps, cookie identifiers and diagnostic events. The exact data depends on the hosting, analytics, security and consent tools enabled on the live website. The studio does not request government identification, payment-card numbers, medical information or other sensitive personal data through a general inquiry form.

3. Sources of information

Information is obtained directly from a visitor or business contact; from an authorized employer, colleague or project stakeholder; through contractual and project-management communications; from service providers used to host, secure or operate business systems; and from public business sources when reasonably necessary to evaluate a prospective engagement. Individuals should not provide personal information about another person unless they are authorized to do so.

4. Purposes of use

Personal information is used to review inquiries, determine service fit, prepare proposals, schedule and conduct consultations, negotiate and administer agreements, verify instructions, manage delivery, provide support, issue invoices, maintain financial and tax records, protect systems, investigate misuse, enforce contractual rights and comply with applicable law. Information may also be used to improve service processes, understand website performance and maintain accurate business records.

Woodlentra Studio does not sell personal information, rent contact lists or use submitted project details for unrelated consumer advertising. Marketing communications, if any, are limited to appropriate business updates and may be discontinued by requesting removal through the contact information below.

5. Legal grounds

Depending on location and context, processing may be based on consent, steps requested before entering a contract, performance of a contract, compliance with a legal obligation, or legitimate interests such as operating a professional services business, securing systems, preventing fraud, maintaining records and communicating with business contacts. Where consent is the required basis, it may be withdrawn prospectively, although withdrawal does not affect processing already lawfully completed.

6. Cookies and similar technologies

The website may use essential cookies required for security, session continuity and core functionality. Optional analytics, preference or marketing technologies should be activated only in accordance with the Cookie Policy and applicable consent requirements. 7. Disclosure and service providers

These parties receive only the information reasonably necessary for their role and are expected to handle it under contractual, professional or legal duties.

Information may also be disclosed when reasonably necessary to comply with law, respond to valid legal process, protect rights or safety, investigate suspected fraud or security incidents, complete a business reorganization, or establish and defend legal claims. Client information is not disclosed to unrelated third parties for their independent commercial use.

8. International processing

Technology providers and project participants may operate in jurisdictions different from the individual’s location. As a result, information may be processed in the United States or elsewhere. Where required, reasonable transfer safeguards will be used, which may include contractual protections, vendor due diligence and access limitations. No transfer mechanism can remove every jurisdictional risk, but providers are selected and configured with regard to the nature of the information involved.

9. Retention

Inquiry records are retained for the period reasonably needed to respond, evaluate future communications and document business decisions. Contract, invoice, tax, security and project records may be retained for the duration of the relationship and afterward for legal, accounting, warranty, dispute-management and professional recordkeeping purposes. Credentials and working copies of client data are deleted, returned or restricted in accordance with the project agreement and operational requirements. Retention periods may be extended when a legal hold, unresolved dispute, security investigation or statutory requirement applies.

10. Security

Reasonable administrative, technical and organizational safeguards are used in proportion to the sensitivity and context of the information. Measures may include access controls, multi-factor authentication, encryption supported by service providers, least-privilege practices, secure credential exchange, backups, logging, vendor review and incident-response procedures. No website, transmission method or storage system can be guaranteed completely secure. Individuals should avoid placing passwords, private keys, production data or regulated information in an ordinary inquiry form.

11. Individual rights

Subject to applicable law, an individual may request access to personal information, correction of inaccurate information, deletion, restriction, portability, information about disclosures, or objection to certain processing. A request may be limited where identity cannot be reasonably verified, the request conflicts with another person’s rights, records must be retained by law or contract, or another legal exception applies. Authorized agents may be required to provide evidence of authority.

Residents of jurisdictions with specific privacy statutes may have additional rights, including rights concerning categories of data and disclosures. Woodlentra Studio will not discriminate against an individual for making a valid privacy request. The studio does not represent that every statutory regime applies to every interaction; requests are evaluated under the law applicable to the individual and processing activity.

12. Children

The website and services are directed to businesses and adults acting in a professional capacity. They are not intended for children under 13, and personal information from children is not knowingly collected through general website forms. A parent or guardian who believes a child submitted information may request its review and deletion.

13. Third-party environments

The website may identify third-party platforms or technologies used in project work. Woodlentra Studio is not responsible for the independent privacy practices of those providers or of a client-controlled website, application or account. Individuals should review the policies and settings applicable to each external service they choose to use.

14. Changes to this Policy

This Policy may be revised to reflect changes in services, technology, legal requirements or business operations. A revised version will identify its effective date. Material changes will be communicated in a manner appropriate to the relationship and the nature of the change.
